DRAFT SOW: Procurement and Installation of ProCuity Beds 1. Purpose The purpose of this SOW is to define the requirements for the procurement, delivery, installation, and support of hospital beds to enhance patient care, safety, and clinical efficiency across inpatient care settings. The requested equipment must support patient safety initiatives, reduce fall risk, improve caregiver ergonomics, and integrate with existing clinical workflows and technologies. This acquisition is intended to replace or supplement existing bed inventory with modern systems that meet current healthcare standards 2. Scope of Work The contractor shall provide all labor, materials, equipment necessary to furnish, deliver, assemble, install, test, and provide training for the beds at 2200 Fort Roots Dr. Bld 170. This shall include Hospital bed frames, compatible mattresses, all required accessories and components, on-site installation, functional testing of all beds, user training for clinical support staff, and warranty and support services. 3. Requirements 3.1 Product Specifications Each bed must include the following features: Low Height: Uncompromised low height of 11.5 inches (14 inches with Zoom motorized drive), enabling advanced fall and injury prevention without compromising stability or clearance; 6” double casters for ease of transport; 5.75 inches underbed clearance for lifts and overbed tables. Headboard with Caregiver Cut-out: Allows enhanced head-end patient access for procedures such as intubation/extubation and boosting. One-touch/Any Position Scale: Integrated scale enables weighing the patient in any position, stores up to 40 weights per stay, and operates with a single touch. Secure Adaptive Bed Alarm: Innovative weight-based system provides three sensitivity zones, intuitive zone adjustment when side rails are altered, and multiple alarm disarm points (foot end, siderail). iBed Watch: Continuous electronic monitoring of side rail, head-of-bed, bed height, and bed-flat positions; provides alerts via icons and optional EHR and nurse call integration. 12” Integrated Bed Extender: Built-in extender increases surface area from 84 to 96 inches. One-touch Electric Brakes: Manual and electric brakes with multi-point access, visual brake status alerts on footboard and siderails. Foot End Advanced Controls: Advanced caregiver controls placed at the foot for uninterrupted patient care. USB Port and Device Holder: Open-face patient device holder with integrated USB charging, designed for easy cleaning and patient convenience. Integrated Footboard Pump Holder/Accessory Outlets: Built-in pump rack and 120V accessory outlets located away from patient entry/egress. Zoom Drive System: Motorized bed drive system for improved mobility and caregiver efficiency. iBed Wireless Capability: Wireless connectivity enables bedside data collection, open architecture for integration, and supports cost-effective custom solutions. Secure Connect: Cable-free, three-anchor nurse call connectivity for consistent nurse communication. 3.2 Quantity 20 Hospital beds with compatible mattresses and components. 3.3 Delivery and Installation Contractor shall coordinate delivery and installation with the Community Living Center personnel. Beds and mattresses will be delivered to Building 170 ward C 3.4 Training Within 30 days after delivery, the Contractor shall provide on-site in-service training for clinical, nursing, and technical staff in the use, cleaning, and maintenance of beds. At least 1 on-site training is required. Training materials and quick-start guides shall be provided. 3.5 Warranty and Support Shall include a minimum 1 year warranty for manufacturing defects, seam failures, fluid ingress, loss of pressure redistribution performance. Includes replacement or repair at no cost and the turnaround time is 30 days from day of filed claim. Support shall include: remote support (phone/email) during normal business hours, on-site support when issues cannot be resolved remotely, preventative maintenance guidance, troubleshooting and repair services. Initial response is within 24 hours. On-Site service to be held within 72 hours for unresolved issues. 4. Period of Performance The period of performance shall be from 90 days of award. 5. Government Furnished Property/Space The facility will provide contractor access to the areas designated for bed placement, as well as reasonable access required for installation and training activities. RECORDS MANAGEMENT OBLIGATIONS A.  Applicability This clause applies to all Contractors whose employees create, work with, or otherwise handle Federal records, as defined in Section B, regardless of the medium in which the record exists.   B.  Definitions “Federal record” as defined in 44 U.S.C. § 3301, includes all recorded information, regardless of form or characteristics, made or received by a Federal agency under Federal law or in connection with the transaction of public business and preserved or appropriate for preservation by that agency or its legitimate successor as evidence of the organization, functions, policies, decisions, procedures, operations, or other activities of the United States Government or because of the informational value of data in them.   The term Federal record: includes [Agency] records.  does not include personal materials. applies to records created, received, or maintained by Contractors pursuant to their [Agency] contract. may include deliverables and documentation associated with deliverables.
