STATEMENT OF WORK July 2026 Federal Student Aid (FSA) Hiring Fair 1.0 BACKGROUND The Office of Federal Student Aid (FSA) requires conference and meeting space to conduct an in-person Hiring Fair to support recruitment activities and hiring initiatives. The FSA Hiring Fair is intended to provide an opportunity for prospective applicants to engage with hiring officials, participate in informational sessions, and complete structured panel interviews in support of workforce planning and staffing priorities. FSA proposes to host a two-day in-person Hiring Fair July 2026, in the Washington, D.C. metropolitan area. 2.0 SCOPE The purpose of this acquisition is to secure meeting space and associated support services necessary to host the 2026 FSA Hiring Fair in a 100% in-person format. Preferred event dates: July 21-22, 2026 Venue location requirements: • Washington, D.C. or Northern Virginia • Within a five- to ten-minute walking distance to Metro • ADA compliant • Accessible by public transportation Venue shall furnish labor, materials, equipment, and management necessary to provide meeting rooms, audiovisual support, logistics coordination, furniture setup, internet connectivity, and janitorial services. 3.0 REQUIREMENTS 3.1 Functional Requirements 3.1.1 Expo & Plenary Hall (Large Ballroom) Capacity: 250 people; 2,500 square feet Layout: Open floor plan in a single room, combining the plenary seating area with six (6) distinct double-wide booths. Plenary seating for 200 attendees: • Screen and projection capability • Audio support -- 1 of 3 -- • Podium • Microphone capability Twelve (12) skirted Tables arranged in pairs • Two (2) skirted six-foot tables • Two (2) waste baskets • Tripod, or otherwise applicable, stand for signage 3.1.2 Registration Space / Room (1) The venue shall provide a designated registration space or room located at the entrance or immediately prior to the event area. This space must allow for efficient attendee check-in and credential distribution before participants access the main conference or event areas. The registration space should be clearly marked, easily accessible, and capable of accommodating anticipated attendee flow to prevent congestion. • Two (2) skirted six-foot tables • Two (2) waste baskets 3.1.3 Interview Rooms (6) Provide six private meeting rooms for panel interviews that will comfortably accommodate 5-6 people. Each room shall accommodate: • Two (2) six-foot tables • Panel interview seating • Reliable Wi-Fi • Electrical access • Adequate circulation space 3.1.4 Administrative Space Provide registration and administrative workspace for FSA/OHR staff, the room being no less than 1000 square feet, with access to a fully equipped Multifunction Printer. 3.1.5 Accessibility and Security Venue shall comply with ADA and Section 508 requirements. 3.2 Logistics Support Services Provide site walkthrough, floor plans, room setup coordination, onsite operational support, and post-event closeout assistance. 4.0 DELIVERABLES • Site Walkthrough • Floor Layouts • Event Schedule • Technical Support Plan • Post Event Summary -- 2 of 3 -- 5.0 PERIOD OF PERFORMANCE AND PLACE OF PERFORMANCE July 21, 2026 – July 22, 2026 Location: Washington, D.C. or Northern Virginia. Venue shall be within a 5–10 minute walk to Metro. 6.0 GOVERNMENT FURNISHED INFORMATION (GFI) FSA will provide agenda, branding materials, staffing requirements, and hiring schedules. 7.0 EVENT MANAGEMENT PERSONNEL Venue shall assign an Event Manager to support logistics and execution. 8.0 PERFORMANCE STANDARDS Meeting space readiness, AV functionality, room setup accuracy, accessibility compliance, and responsive venue support.
