The Special Warfare Training Wing Chaplain Corps team uses a retreat format as a form of ministry to actively engage our assigned personnel and their eligible dependents (also known as guests). Retreats are held at commercial facilities to remove participants from the pressures and entanglements of their daily life. Retreats are offered throughout the year to provide guests with an avenue to develop personally & spiritually; to grow toward increased functional ability, mental toughness, spiritual maturity; and acceptance of responsibility. Guests are encouraged to resolve personal and professional apprehensions to be a greater useful service member in their military occupations and relationships. 2. Scope of Requirement. The Special Warfare Training Wing Chaplain team, assigned to Joint Base San Antonio-Lackland, has a requirement for non-personal services for one family retreat. We are seeking an offsite resort that can host a family retreat with the intent to assist with building healthy family relationships. The contractor shall provide guest accommodation for an overnight stay between 7-8 August 2026, for up to 200 adults and an estimated 120 children, to include lodging, pre-paid meal vouchers, access to conference rooms, audio/video equipment rental, customer service & technical support and access to all the resort amenities. Regarding alternate dates, the Government may have to re-schedule a retreat due to unforeseen circumstances. The Government reserves the right to re-schedule at no additional cost to an alternate date providing at least 3-day notice is given to the Contractor in writing. The Contractor shall offer new dates for the rescheduled retreat. The government will not be held liable for individual room charges. Resort Check in time: 1200hrs Resort Check out time: 1100hrs Contractor tasks include, but not limited to, the following: Lodging: Provide 80 guest rooms. Each guest room will have modern amenities to provide a peaceful environment throughout the retreat. Rooms must be smoke free. Amenities shall include admission to waterparks, microwave oven, mini fridge, coffee maker, ironing board and iron, in-room safe, HDTV, access to fitness center and high-speed internet. The Government will not be liable for any incidental or additional fees that may be charged to a guest’s room. Each guest room shall feature two (2) queen beds with a queen-size sofa sleeper and a full bathroom with tub. Handicapped-accessible rooms upon request. Provide a Pack and Play for infants aged 3-years and under upon request. Lodging cost shall not exceed the government per diem rate. Pre-Paid Meal Vouchers. A $120 meal voucher will be provided for each adult for food and refreshments for the duration of the event. Booster chairs and/or highchairs provided for infants. A $90 meal voucher will be provided for each child for food and refreshments for the duration of the event. Cost of meals shall not exceed the government per diem rate. Conference Room Access. Provide two (2) indoor spaces/conference rooms: Primary (Pri) and an Alternate (Alt). Provide audio/video equipment to conduct general presentation in the Pri conference room. The Alt conference room will be utilized for 1hr and 15mins to separate the children from the adults during formal instruction. Shall provide visible signage on display mediums with retreat information. Shall provide the essential audio-video equipment to include projectors or large display screens, and compatible cables (HDMI, VGA or DVI adapter). Shall provide round and/or rectangle tables with linens in each room. See Table 1. Alternate (Alt) Conference Room: Provide one (1) conference room designated for family activity. No audio/video equipment rental is needed for this room. Shall provide round and rectangle tables with linens in each room. See Table 1. Customer Service & Technical Support: Shall provide an on-site point of contact that can deliver customer service support for technical and non-technical issues that may during presentation in the conference room. Access to Resort Amenities. Shall provide access to an Indoor Waterpark; Adventure Park to include slide & rides, ropes course, climbing wall, indoor zip-line, bowling, laser tag, and 250 arcade games; Adventure Club to include art & crafts and souvenirs; Spa & Wellness center to include: salon, fitness & training center, and calming rooms; a variety of shopping and dining options suitable for families. -- 2 of 2 --
