Description

SALIENT CHARACTERISTICS Conference Rooms AV/VTC System 1.0 SCOPE OF WORK The contractor shall provide all labor, materials, equipment, and services required to deliver a fully integrated Audio Visual (AV) and Video Teleconferencing (VTC) system for the Building 500 Conference Room. The system shall support both SIPR (Secret Internet Protocol Router) and NIPR (Non-classified Internet Protocol Router) operations. The scope includes full installation, configuration, system testing, and end-user training. The VTC system must be compatible with the USAFE VOC, requiring a CISCO-based codec. 2.0 GENERAL REQUIREMENTS All equipment provided shall be new, commercial-grade, and TAA (Trade Agreements Act) compliant where applicable. The installed system must integrate with the existing facility infrastructure and operate within normal office temperatures without requiring any renovation of existing HVAC systems. The contractor is responsible for providing all necessary components for a complete and operational system. 3.0 DISPLAY SYSTEM The system shall include the following display hardware, sized to fit the existing room dimensions: • Two (2) 86-inch LG 86UH5Q-E Commercial Displays: (or equivalent) • Resolution: UHD 4K (3840x2160) • Brightness: 500 cd/m² • Operation Rating: 24/7 commercial use • Features: 25% Haze for anti-glare, 16:9 aspect ratio • Two (2) Smartmount ST670P Universal Tilt Wall Mounts suitable for 46" to 90" displays. • Any wall modifications or reinforcements required for display installation shall be provided by the contractor. 4.0 VIDEO DISTRIBUTION The system shall provide a 4K-capable video routing solution for SIPR, NIPR, and generic HDMI sources, utilizing an AV-over-IP or equivalent distribution method. The core components include: -- 1 of 4 -- • One (1) Extron DXP 88 HD 4K/60 HDMI Matrix Switcher: 8x8 HDMI switcher with two audio outputs, occupying a 1RU space. (or equivalent) • One (1) Extron DA2 HD 4K PLUS Distribution Amplifier: One input, two output 4K/60 HDMI amplifier. (or equivalent) • One (1) Universal Secure KVM Switch (F1DN204KVM-UN-4): 4-port, dual-head KVM, certified for NIAP Protection Profile 4.0 to meet the highest security standards for switching between classified and unclassified networks. (or equivalent) 5.0 AUDIO SYSTEM The system shall feature a professional audio solution with a Digital Signal Processor (DSP) to manage echo, noise, and audio levels for clear communication. • One (1) Q-SYS Core 8 Flex Audio/Video/Control Processor: Provides 8 channels of Acoustic Echo Cancellation (AEC), 64x64 networked audio channels (Q- Lan/AES67), and USB AV bridging. (or equivalent) • Two (2) Shure MXA310 Table Array Microphones: Utilizes "Steerable Coverage™" technology with 4 separate polar patterns to capture audio accurately while rejecting unwanted room noise (e.g., HVAC). (or equivalent) • Two (2) Extron CA 83T Column Array Loudspeakers: Provides outstanding speech intelligibility. (or equivalent) • One (1) Q-SYS SPA-Qf 60x4 Amplifier: 4-channel amplifier providing 60W per channel with GPIO control, natively integrated with the Q-SYS ecosystem. (or equivalent) 6.0 CONTROL SYSTEM A centralized, user-friendly control system shall be provided to manage all AV functions. • One (1) AMX NX-2200 NetLinx NX Integrated Controller: The central processor for the control system, designed to manage AV and building technology. (or equivalent) • Two (2) AMX VARIA-100N 10.1" Professional-Grade Touch Panels: Secure panels that exclude camera, NFC, and microphone capabilities. (or equivalent) • Two (2) AMX VARIA-ACS-810A Tabletop Stands for positioning the touch panels. (or equivalent) • One (1) Dell P2424HT 24" Diagonal Touch Monitor: An intuitive touch monitor for an additional control point. (or equivalent) 7.0 VTC SYSTEM -- 2 of 4 -- The system shall support dual-network video teleconferencing. • SIPR Conferencing: A CISCO codec compatible with the USAFE VOC is required for classified communications. (86 CS currently has this in place and is not end-of-life until 2030+). The system will also need to incorporate SIPR Microsoft Teams • NIPR Conferencing: The system will primarily use Microsoft Teams. • One (1) Extron MediaPort 200: An HDMI and audio to USB scaling bridge that allows room cameras and microphones to be used for PC-based software VTC (e.g., MS Teams). (or equivalent) • One (1) SW4 USB PLUS: A four-input USB switcher for managing host and peripheral emulation. (or equivalent) 8.0 CAMERA SYSTEM The system will include a high-quality Pan-Tilt-Zoom (PTZ) camera to support both SIPR VTC and NIPR USB conferencing. • One (1) VC-TR60AW 4K AI Auto-Tracking Camera: A white, 4K camera featuring artificial intelligence for auto-tracking presenters. (or equivalent) • One (1) Wall Mount for Conference Camera. 9.0 FURNITURE AND RACKS The contractor shall provide the following to support the installation: • Two (2) Wall Reinforcement Plates (1800x600x19mm): To ensure secure mounting of the large displays. • One (1) Apra-Rack 16HE Standard Equipment Rack: A small rack (60x60x80cm) with a glass door to house system components. 10.0 INSTALLATION & TESTING The contractor shall perform all physical installation, wiring, device configuration, and system programming. Following installation, the contractor will conduct comprehensive testing to ensure all components function correctly as an integrated system. 11.0 DOCUMENTATION & TRAINING The contractor shall provide complete system documentation, including as-built drawings, manuals, and product detail reports. The contractor will also conduct end-user training to ensure staff can operate the new system effectively. 12.0 WARRANTY -- 3 of 4 -- The contractor shall provide a minimum one-year warranty on all parts and labor. The warranty shall include a 72-hour response time after notification of a system failure. -- 4 of 4 --
