Services: Provide air conditioning preventative maintenance on 09 ACs located in the Brickell Federal
Plaza Building at 909 SE 1st Ave, Miami, FL 33131.
Period of Performance:
Base Year: 01 August 2026 – 31 July 2027
Option Year 1: 01 August 2027 – 31 July 2028
Option Year 2: 01 August 2028 – 31 July 2029
DETAILED DESCRIPTION OF WORK SCOPE: Annual PM on A/C units Decks 5 & 8
SCOPE: To completely open up each HVAC unit (8 total) and evaluate current condition in regard to
condition and state of repair and/or any previous maintenance. Bring units back up to optimal operating
performance and sanitary conditions to help provide highest quality airflow and cooling conditions. The
following services will be provided.
The 1st Annual PM to be the most involved service to bring the units up to most efficient condition
during this service. Please factor in 1st Annual PM to total pricing so bill reflects 12 equal payments.
1-year Preventative Maintenance service plan which will include:
• 12 visits (one each month) regarding preventative maintenance also included are 4
Service/Repair/Emergency visits factored into monthly aggregate pricing. Vendor must respond
in 12 hours’ notice for Emergencies.
• 1st RESPONDER for Service to the COMMAND CENTER A/C and will respond AFTER HOURS and
WEEKENDS at our normal rates and not to exceed $2,000 in repairs unless approved by USCG
purchasing dept. If further repairs may be needed that shall exceed this amount or Liebert parts
that may need to be fast track ordered to solve any issue, we will work and attempt to solve any
repair issue in the most efficient and timely manner possible should this become an issue.
• Provide all Filters (MERV 11 filters) and Drain treatment supplies.
Annual SOP
• Change or clean filters as needed.
• Check dampers and economy cycle operation. Check V belts.
• Clean condenser /evaporator coils as applicable.

• Check electrical connections for tightness.
• Check all fan motor bearings and mounts.
• Check compressor operation, mounts, and oil levels on semi-Hermetics.
• Check control thermostat operation.
• Check crankcase heater operation.
• Install refrigerant gauges.
• Check refrigerant charge: note compressor suction and discharge pressures in relation to supply,
return and outside air temps.
• Record amperage with the compressor in operation, if compressor has unloaders, record loaded
and unloaded.
• Record voltage with compressor in operation.
• Check operation of all time delays, defrost t stats, relays, and contactors.
• Check high and low pressure cut outs.
• Clean condenser and evaporator fan motors. Lubricate as necessary.
• Check condensate tray for proper drainage.
• Clean unit interior and exterior.
• Reinstall all access panels and screws.
• To ensure primary and secondary AC drains are clear of debris.
Quarterly SOP (end of each Quarter – July, Oct, January, April)
• Change or clean filters as needed.
• Check dampers and economy cycle operation. Check V belts.
• Clean condenser/evaporator coils as applicable.
• Check electrical connections for tightness.
• Check all fan motor bearings and mounts.
• Check compressor operation, mounts, and oil level on semi-Hermetics.
• Check control t stat operation.
• Check crankcase heater operation.
• On heat pumps, check reversing valve operation.
Monthly SOP
• Inspect all filters and if necessary clean or replace.
• Check bearing braces for tightness. Check and grease as required.
• Adjust all fan V belts, if necessary, if belt slips or shows signs of wear replace as needed.
• Lubricate motors as prescribed on motor tag or unit sticker.
• Inspect humidifier for lime deposits. Clean as needed.
• Clean condenser/evaporator coils if needed.
• Check dampers and economy cycle operation.

Total cost Fee per month which will include the 1st RESPONDER service for Command Center Emergency
Service invoiced at our normal cost rates and the replacement of filters with Merv 11 filters broken
down into 12 equal payments.
***EQUIPMENT***
09 HVAC units in the building are as follows:
**On the 8th Floor:
1-2) The 2 big units in the command center (the new one, with access from the hallway, and the older
one in the locker room.
3-4) The 2 mini-splits in the command center server room and storage room.
5) The ceiling unit in the command security office, over the main cubicle space.
6) The mini-split in the command security office, in the room with the “bank vault" style door.
7) The ceiling unit in the SCIF's conference room.
**On the 5th floor:
8) The big one in the main server room, in C5I spaces.
9) The mini-split in the training classroom outside of DXR.
***BILLING***
Billing to be monthly in arrears, payment will be made using government online billing procedures
