FOR THE WHITERIVER SERVICE UNIT (WRSU) MEDICAL IMAGING
A. INTRODUCTION:
The Contractor shall provide technical support Vertex 25ei System with Starter
Package. ~ System Starter Package, includes PP-100III Autoloader & Vertex Software.
First year Advanced Exchange Maintenance, 100 White inkjet CD-Rs, 100 White
Inkjet DVD-R's, one multipack inkjet cartridges, and 200 paper DISC holders and 4-
Year Vertex 25ei System Advanced Exchange Maintenance Package (Years 2 thru 5)
(Pricing reflects service discount) - Support must be purchased up front with the Vertex
25ei System 4-Year Vertex Scan Advanced DICOMization/Paper Scanning, Software
1-Year Maintenance. -Covers 1 scanner. (after the first year) Epson DS-530 II
Document Scanner Year 4 & 5 Support
B. BACKGROUND:
CD/DVD writers burn medical images (DICOM) and reports onto discs for secure, portable
sharing with patients or other providers
• Image Distribution: Distributes diagnostic images (X-rays, CTs, MRIs) to referring
physicians or patients who need them for consultations or follow-ups.
• Data Backup & Archiving: Acts as a secondary, offline backup of studies,
protecting against network failures or system issues.
• HIPAA & Compliance: Facilitates secure data transfer, often with encryption and
de-identification features, to meet privacy regulations.
• Patient Access: Accommodates patients who prefer physical copies or lack
immediate digital access to online portals.
• Inter-facility Transfers: Enables seamless exchange of images and reports between
different hospitals, clinics, and specialists.
C. SCOPE OF REQUIREMENT:
The Contractor shall provide One Technical support via telephone, email and WebEx
(online) during normal business hours (8:00 A.M.- 8:00 P.M. Eastern Standard Time)
Support & Maintenance:
• - First year Advanced Exchange Maintenance
• - 4-Year Vertex 25ei System Advanced Exchange Maintenance Package (Years 2 thru 5)
• - Epson DS-530II Large Format ADF Document Scanner With 3-Years Support
• - DD Remote Installation & Training, Phone (4 hours)
D. PERIOD OF PERFORMANCE:
The Contractor shall provide Support & Maintenance Bundle, period covering 4 years
after initial 1year coverage for a total of 5 years.

E. DESIGNATED CONTRACTING OFFICERS REPRESENTATIVE (COR):

requirements of this order on behalf of the government.
1. The Contracting Officer shall designate the COR representing the Government
for the purpose of this contract in writing. Such designation will set forth the
duties specifically delegated in regard to the performance of this contract. A
copy of the designation will be provided to the contractor.
2. The major responsibility of the COR is to ensure Contractor accountability,
monitor contract performance, and assist the Contractor in the resolution of
program problems encountered during the performance of this contract.
3. The COR shall be responsible for:
a) Monitoring the Contractor’s technical progress, including the surveillance
and assignment of performance and recommending to the contracting
Officer changes in requirements;
b) Interpreting Statement of Work;
c) Performing technical evaluation as required;
d) Performing technical inspection and acceptance required by the contract;
e) Assisting the contractor in the resolution of technical problems
encountered during performance.
The COR’s responsibilities will be to coordinate with the contractor the technical aspects of this
service and the review of performance hereunder. The COR does not have the authority to change
or alter the order amount, terms and condition
